6 Bad Admin Habits Costing Recruiters Big Bucks Its pretty amazing what  CRM systems are capable of. Instead of having to maintain our own labour-intensive filing systems, a few quick clicks of the mouse are  sometimes all it takes to  manage your business. Thanks to tailored software systems used in recruitment agencies, you  create profiles for all the candidates and clients youve met, and store all relevant information in one place. While computers  harness the  ability to store and analyse information  in ways we could never  even come close to rivalling, the benefit you get will only ever be as good as your own input. Admin got you all, no thanks? Youre not alone. Note-taking and updating virtual resources can be extremely time consuming, but its the recruiter who doesnt slip into sloppy habits who  reaps the rewards. Coming out of a meeting or off of  a call and telling yourself youll do the admin later is a massive warning sign. Why? Because you wont do it later, and if you do, you would have forgotten half of the juicy  details  anyway so it will be way less effective. Put simply, bad admin equals wasted time and money. Here are some of the worst habits to avoid: 1.  Leaving out contact details Youre having a conversation with someone over email. You set up a time to talk, and they call you. Instead of saving the number right away, you leave it as a random number in your phone. You dont save it to their profile in your CRM system, either. Next time you need to speak with that person, you  find yourself  fishing through your call history to match up the time you spoke and length of call, with their potential number. Its a tedious, time-wasting task. Almost as tedious as reading back through an email chain  from 2014 to find a number   it has to be here somewhere!! The same goes for when you receive CVs and business cards always transfer the contact details straight away because youll end up losing  the original document, and if you havent saved the information youll be catapulted back to square one if you ever want to talk to that person again. Wasting time searching for information you once had at your finger tips is a a complete waste of time. If your agency operates on a client ownership / shared candidate model, failing to record contact details not only wastes your time, but probably your colleagues too. Be a champion for best practice! Ensuring the contact details are in one central directory  is better for everyone. 2.  Terrible tracking Youve met someone, and sat on a million calls with them, but according to the CRM system notes, youve only ever exchanged  two emails, and it was more than six months ago. Its extremely important to record your meetings, calls and emails (within reason), so you constantly pick up where you left off with candidates and clients, instead of accidentally going over old ground and making a fool of yourself. Its easy to feel like youll remember every piece of correspondence youve had with someone, but when youve had hundreds of similar meetings, everything can blur into one giant relationship and the specifics are lost. People will remember talking to you,  as youre offering them a special service;  candidates dont deal with a hundred recruiters in the same way that recruiters deal with hundreds of candidates. If you dont remember them in return, youre likely to disgruntle them and potentially lose their business, because of failing to build a genuine rapport. 3.  Spelling errors Writing down names incorrectly is risky always check this carefully! Computer software systems may be excellent at storing and sorting information, but they are not forgiving of grammatical errors! Bad spelling means your searches wont return the correct results, and you will lose people inside your CRM system.  Failing to correctly take down information also puts you at risk of submitting a candidate to a role under an incorrectly spelt name, or letting those errors seep through into letters, contracts and emails, which can make absolute mountains out of molehills, and waste you serious time. 4.  Failing to update When you find out a piece of information about someone or something, regardless of whether  its a new piece of contact information, a status update on a process, a change of job or a change of last name, updating the admin  should happen immediately.  Failing to keep information up to date means youll miss things, and slowly lose control of your network and whats going on around you. Youll always be a few steps behind everybody else, and youll waste time by covering your old ground because youve forgotten youve already been there and done that! 5.  Clueless coding CRM systems are built with excellent algorithms which allow specific search terms to sift through hundreds of thousands of profiles, and bring about the people who are  best  suited for whatever it is you need. If you dont fill in all of the fields when uploading a new contact, leaving locations, salary brackets, company or job titles blank your searches will be extremely ineffective and you will no doubt miss out on placements because of it. The people you really should be speaking to will slip through the cracks because they wont appear in any of your searches they might as well not even be in your system! 6. Rubbish  reminders Just because a contact, candidate or client isnt of use to you right now, doesnt mean they wont make you money in the future. Leaving a note with not interested next to someones name in the system without a task to follow up with them at some stage in the future is as ineffective as using a dead fish to paint your nails. Dress for Success Curvy Girl Fashion Tips The other day my sister and I were talking about how finding the perfect dress for all of these summer weddings and events can be super stressful.  Not all styles look good on all body types.  In fact, the bridesmaids dress that I selected for my own wedding next month has caused my sister some stress and I didnt even realize that would be a possibility. Its ironic that I didnt grasp this challenge considering that in my Italian family, we all have something in common: curves (um and a passion for amazing food- funny how those two often go together).  As women, we all have our own little insecurities and issues when it comes to finding the right clothes for our bodies.  Often times these insecurities lead us to choose the wrong styles and accessories without even realizing it. After having this conversation, I wanted to put together some fashion tips for curvy girls, so I reached out to plus size  fashion retailer Curvissa and my own cousin Anne Kennedy for some advice.   My cousin Anne-  a model, fashionista and Nordstrom Sales Associate- knows how to rock her shape like no other.   She has inspired my sense of style and never goes anywhere without looking effortlessly chic. Q: WHAT FASHION TIPS DO YOU HAVE FOR CURVY GIRLS? A: Don’t always follow the TRENDS! Just because colored skinnies are a huge trend this year, does not mean that they will be a flattering trend on your body. This is just one example of how to be conscious of your body type and how things look on your body. Not all trends look good on all body types. Continuing with the first point… know your body type!  Curvy girls have different curves, that’s what makes us unique. Some general curvy body types can be… HOURGLASS INVERTED TRIANGLE RECTANGLE TRIANGLE Get educated on what type of body you have and make your clothes work for you! You shouldn’t have to work for your clothes to look good. Q: WHAT ARE SOME FLATTERING STYLES FOR CURVY WOMEN? A: Well first let me say that bigger is not always better: oversized clothing can well make you look oversized. This does not mean to go get a size smaller than what you would normally wear. If you are a size 16, or any size, rock your body type with clothes that will show off just enough of your curves. ACCESSORIES ARE EVERY GIRLS BEST FRIEND! Draw attention back to your beautiful face with accessories, such as earrings and necklaces. If you take your favorite pair of jeans and any flattering solid colored top or nice T-shirt and add a chunky necklace to it, you have a flattering and trendy outfit. As far as trends are concerned stick with the hot accessories of the season. They can dress up or change any simple outfit to make it trendy! Q: ARE THERE ENOUGH PLUS SIZE CLOTHING LINES OUT THERE FOR WOMEN? COULD THIS BE IMPROVED? A: I do believe that there are many plus size clothing lines out there for women, they can just be a little hard to find. Now, it is harder for younger women and teens to find clothes that suit their age group. I personally can attest to this problem when I find myself looking for a pair of jeans that will fit me correctly, and I end up in a store that is geared toward older women There are certain stores that only carry their plus sizes online, which makes it difficult to see how things fit. Plus size clothing lines could be improved by manufacturing their clothes according to the four types of curvy bodies… because not everyone’s bust is a DD. Q: ONE LAST QUESTION. IF YOU HAD TO INVEST IN ONE FASHION STAPLE FOR THE REST OF YOUR LIFE, WHAT WOULD IT BE? A: If I had to invest in one thing for the rest of my life,  I would highly recommend investing in a great pair of jeans. They’re an everyday item that you can dress up or down, and plus they never go out of style! 7 ways to survive in an office with a lack of diversity - Debut As varied as offices amongst different industries may be, there can be a sorely consistent feature of some of them lack of diversity. Your colleagues are (mostly) stale, pale and male. Whilst you are able to interact with them like a normal human being, some find difficulty relating to you in the same way. Beyond outright discrimination, which many still face, there are psychological costs to being one of just a few minorities in a predominantly white and male environment. In their book Working Identity,  Mitu Gulati and Devon Carbado  note that minority professionals tread cautiously to avoid upsetting the majority group’s sensibilities. Well I say, why gully creep when you can crip-walk your way through the minefield that is well-intended, albeit offensive office banter? Here’s how: 1. Deflect the question “Where are you from?” “Harlesden.” “No, like where are you really from?” And so the age-old story goes. Before you whip out your birth certificate, try firing back some questions of your own. For full effect lower a desk lamp over their head to create an impromptu quiz show studio. Mirror the absurdity by questioning their certainty of their own origin, monologue on the evolution of man or throw in some questions entirely unrelated altogether. Jazz it up, make it your own. This may create a slight discomfort for the person who asks ill-thought out questions, but hey, now they know how you feel. And if youre the one asking the question, accept the answer you get, our colleague knows more about themselves than you do. 2. Comment on the lack of diversity Where possible bring up the lack of diversity where there is opportunity to improve it. Feedback questionnaires are a good way of offering your constructive input, and at least you’ll be directing it at the right people. An MIT study of collective intelligence found that racially diverse teams outperform non-diverse ones by 35%  and a study conducted by researchers from the University of Illinois in 2009 concluded that both racial and gender diversity were found to contribute positively to sales, customers and profits. This is a clear indication that inclusive work environments are multi-beneficial and an increasing number of employers are becoming aware of this. Where feedback is not formally requested it would do no harm to bring it up in passing conversation to Human Resources or Recruitment, especially with statistical benefits on your side. 3. Be frank There’s a time and place for nervous laughter and tactile responses to offensive comments, but sometimes you have to draw a line. The fear of appearing sensitive or abrasive often stunts one’s natural reaction, but what you allow is what will continue. One way of ensuring you aren’t put in the uncomfortable situation of being the butt of a stereotypical joke is to address it then and there. You did not find it funny because it was not funny, and would the perpetrator kindly refrain from making such comments again. You may receive an apology if not a deflection from the ‘jokester’ to lighten up and take a joke. Either way, they will make a mental note for the future. 4. Snitch to HR Where repeat offenders do not heed your own warnings you can always take it to the big dogs. Human Resources ensures that the work environment is conducive to productivity and constant remarks on one’s differences can create a hostile work environment. HR strives to resolve workplace conflict and also to ensure employees are compliant with office policies and legal requirements. You don’t have to bear the burden of battling transgressions and micro-aggressions on your own. Remember there are people who work to ensure everybody’s work experience is positive so enlist their help from time to time.   5. Be proactive Be the change that you want to see and actively invite your peers to apply for roles at your workplace. A lot of industries rely on employee referral in recruitment and they are 3-4 times more likely to be hired than a non-referral candidate. If diversity is not evident at all organisational levels, some employees and potential employees will quickly conclude that there is no future for them in that company. A sure-fire way of increasing diversity in your office is to promote vacancies to more diverse candidates to evidence that there is a seat at the proverbial table for them, word to Solange. Creating awareness of job opportunities is bound to increase the variety of candidates the recruiters will have to choose from, making the workforce more representative and increasing your colleagues’ interaction with different demographics. Plus, a familiar face will add a pep in your Monday step as well as a potential cash incentive for a successful referral. 6. Embrace your individuality It is easy to allow the deafening awareness of being different to shroud your self-esteem and result in you yearning to blend in. Instead of obscuring your differences, wear them like a badge of honour. Embrace being the person to offer an alternative perspective. Commercially, this is a major advantage to companies who employ diversity schemes. You will be providing value and assisting your company in reaching new markets. You also have the crucial ability to see things from a perspective that others may not, and can help prevent decisions being made that may have potentially marginalising effects. Remind yourself that you are a unique asset to your team and take pride in having a competitive edge that is not easily replicated. 7. While you may think of this question as something more appropriate to silently observe during dates, consider how the company is also professionally courting candidates for a prospective hiring match. How this person treats others in the hospitality industry, in theory, informs how they will look down on their “subordinates” and team members. The millennial generation has faced the fight for a living wage, stressing how raising the wage offers intrinsic protection for workers and their families. Millennials understand it’s important to give back while maintaining your standards, and that surviving isn’t thriving. That is why this is a top interview questions for millennials. 3. How Do You Prefer to Receive Positive and Constructive Feedback? Ideally, an employer will get to know the candidate’s style of receiving feedback during the interview process before pegging a millennial for being too narcissistic or sensitive. It’s important to address both positive and constructive feedback because everyone prefers receiving these types of feedback differently. Someone may prefer a face-to-face meeting to discuss constructive criticism while receiving pats on the back via email. Do you like gift cards or want to be invited to the next exclusive networking event? Are team pizza parties still in? 4. Talk About a Time You Were Passed Over for a Promotion You Thought You Deserved. This question gets to the point and allows you to address how you handled a situation that likely crushed you. Did you suck it up? Did you shake hands with your fellow employee? Was this the last straw in a series of moments where you felt invisible? What did you do about it? Your professional-sounding response to this prompt will show an employer how you absorb disappointments, how you advocate for your personal and professional value and if you give congratulations where they’re due, regardless of perceived failure. This is a unique job interview question you can expect and it can tell the interviewer a lot about your character. 5. What Have You Done in Your Past That Will Help You Get the Job Done Here? Younger millennials lack the work experience older professionals have had. Someone has to give them a chance to speak up, and sometimes phrasing is all that holds the applicant back. Instead of asking, “What prior work experience will help you excel in this role?”, employers should keep it conversational. If faced with the old question, millennials should rephrase it in their minds. Search your memories for applicable experiences during an old internship, volunteer experience or your personal life. Keep your options open, and don’t feel limited by the phrasing. 6. Ever Had to Hide a Tattoo on a Job, Deal With Inconvenient Scheduling or Wear a Work Uniform? How Did You Deal With This? Millennials are a generation of individuals who stand up for their rights and prefer independence. Did you have to hide an alternative religious symbol, such as a pentacle? Did you have to cover up a small, but elegant, tattoo on your back or ankle? Did you manage to wake up on time for the day shift, even though you’re a night owl? What happened, and how did you take it? Your answer to this question reveals your coping skills, as well as your ability to compromise and stand up for yourself in a professional manner. 7. If You Were Given Time Off to Volunteer, What Type of Work Would You Choose? Why? Millennials prefer employers who are conscious of their impact on the community and the world at large, and who do something about that. They will research a company’s mission statement and record of corporate service projects. In fact, of those born from 1981 to 1996, 62 percent of millennials desire a position with a company that makes a good impact, and employers are increasingly focusing on sustainability and transforming corporate values into social ones. Does the company wear ribbons for breast cancer awareness or run marathons for multiple sclerosis? Does the company do something beyond “what’s expected,” and does that match up with your volunteer experience or lifestyle? This question shows an openness to going the extra mile in service. 8. How Do You Get Your Daily News? Does the applicant stay in touch with the daily world? Is it through the newspaper, local TV station, conversation, in social media feeds or specific news sites? Do they read what’s trending or listen to a podcast? Do they listen to multiple sources? This question informs the company how you receive and analyze information while showing an interest in the world beyond yourself. 9. In Which Setting Would You Function Best: Open Office, Traditional Office or Home Office? Does the employer have a remote opportunity, or are they considering it? Some live in their pajamas and do stellar work, while others would sleep all day. The hum of productivity is infectious in open office layouts, but coworkers who talk too much may be distracting. Provide clarity about how these various settings affect your work ethic, productivity and mood. The employer may offer flexible work days and environments. 10. Are You a Morning Lark or Night Owl? As teenagers, most people stayed up late, but eventually had to outgrow that. Do you feel limited and fatigued by constrictive 9-to-5 work hours? It may be possible for you to start your day at a little later at the office if you leave later, or you may be offered another flexible work arrangement. Night owls are just as productive as morning larks if they have a choice about when they get their work done. The workday is becoming more flexible as more people take on varied work hours outside of the traditional ones, especially for the remote workforce.
